Requesting exemptions

There are two types of exemptions:

1. exemptions granted because of qualifications already acquired (QAA),
2. exemptions granted because of competences already acquired (CAA)

The credits of the course units for which an exemption on the basis of QAA or CAA was awarded, will be deducted from your degree programme tolerance credit, as described in Art. 49 of the General Exam Regulations. They will not be taken into account for determining your (cumulative) study efficiency nor for determining your academic merit. 

1. Exemptions granted because of qualifications already acquired: Degree, certificate

(Qualifications Already Acquired)

Based on previously obtained diplomas and certificates HUB can give you an exemption for courses or parts of courses. An exemption will be given if HUB can determine that a certain course, on the basis of which you ask for an exemption, is equivalent to the HUB course or course part for which you ask the exemption and that the course you followed previously taught you the same competences as the HUB course. HUB shall take into account the level,contents, and study load.

You request an exemption by completing a 'QAA application form', available from the

Student Administrative Services Centre on your campus and on this site.

Attach to your QAA application form a copy of the diploma and/or certificate you obtained as well as a list of courses specifying the number of class hours and/or credits and course descriptions for every course on the basis of which you request an exemption and hand the file in to the Student Administrative Services Centre of your campus. The Centre may request you provide more information on the contents of a certain course.

You must apply for exemptions at the start of the academic year and no later than 15

October 2011; send the application to the Student Administrative Services Centre on your campus. For courses taught in the second semester, a possible request shall be considered as late as, but no later than, the second class of the course in question. If you enrol after 15 October 2010, you shall be allowed to file your application up to 14 days upon registration but not later than 16 February 2012.

After that date you may no longer use earlier proofs of credit, other study proofs and certificates of competence to have your programme adapted.

If you would like to apply for exemptions granted on the grounds of qualifications already acquired, it is recommended to do so immediately for your entire academic career at HUB.

The dean/director has the final responsibility for granting exemptions.

You shall be notified of a decision within two weeks after you submitted your application.

Refusals shall always be motivated.

You are allowed to file an appeal with the internal appeals body against the decision under the conditions and procedure laid down in point 9.2 of the Education Regulations.

 

2. Exemptions granted because of competences already acquired

As a student, you may have particular competences that you are unable to show (at all or sufficiently) via a degree or certificate. For example, via your occupation, volunteer work or other activities. These competences may be equal to certain competences of the course that you wish to follow. In that case, you can sign up at HUB for a prior learning assessment. If this leads to a certificate of proficiency, you may be granted exemption for certain (parts of) courses of your chosen degree programme.

a) Notification

If you have competences already acquired (CAA), you may submit an application for

recognition to HUB. You do so using the CAA application form (which you can obtain from the Assessment Coordinator or download from this site), your curriculum vitae and a letter of motivation. You do not need to be registered at HUB for your competences already acquired to be recognised.

Your application should be submitted at the start of the academic year and not later than 15 October 2011. For courses competences that are covered in the second semester applications will be accepted until 16 February 2012.

Contact your assessment coordinator or faculty coordinator/academic secretary of your degree programme to sign up.

b) Intake interview and information

In response to your application file you will be contacted for an intake interview with the assessment coordinator and/or faculty coordinator/academic secretary of your chosen degree programme.

If your application contains all competences of your degree programme the director/dean of the degree programme will also be involved in the interview. On the basis of all available information, it is checked to see whether your experience is sufficiently broad and relevant for you to enter into consideration for a prior learning assessment.

More specifically, there shall be a check to see whether your acquired knowledge, perceptions, skills and attitudes satisfy the following conditions:

If admitted to a prior learning assessment, you may register with the assessmentcoordinator.

c) Financial contribution

You pay an administrative charge of €55 only when you register for a prior learning assessment. The additional costs depend on the scope of the prior learning assessment:

For a complete degree programme:

For specific competences required for a course or cluster of courses:

The additional costs of no more €590 are differentiated in relation to the complexity of the assessment. A distinction is made between:

If a combination of assessment tools is used, the fees are added up but can never pass the set ceiling.

The abovementioned sums are published subject to changes made by the Associatie K.U.Leuven.

If you have not yet registered as an HUB student but you do so on the grounds of the HUB CAA assessment, you receive a 20% refund of the abovementioned amounts (with the exception of the €55 that you paid as administration charge) in the form of a reduction of the tuition fee for the degree programme.

d) Prior learning assessment and certification

Based on the common Associatie K.U.Leuven procedures and quality criteria, the institute shall carry out a formal prior learning assessment to determine which competences you already have.

A prior learning assessment may be held for specific competences required for a course or cluster of courses or for a complete degree programme. You may expect the result of the prior learning assessment within six weeks of submission of a complete file. You will receive oral and written feedback on the competences that were assessed during the prior learning assessment. You will also be told which exemptions you will be granted by HUB based on the assessment. In case of a positive evaluation and at your own request, HUB will also issue a certificate of proficiency on behalf of Associatie K.U.Leuven for the competences that you have shown that you have in fact acquired.

e) Exemptions

With your certificate of proficiency, you may apply for exemptions in any institute of Associatie K.U.Leuven. Each institute decides autonomously which exemptions shall be granted upon registration. If you register at HUB, the assessment will contain the exemptions that were granted to you.

f) Appeal

If you believe that the prior learning assessment gives insufficient recognition of competences or that the certificate of proficiency leads to insufficient exemptions, you may initiate an internal appeal procedure as described in section 9.2 Internal appeal regarding admission and study progress of the Education Regulations.
